Connecting Your Google Business Profile to Your CRM

A step by step walkthrough for linking your listing so posts, reviews, and referrals run automatically, no manual updates required.

Before your Google Business Profile posting, review automation, and referral tools can run, your profile needs to be linked to the platform that powers them. This guide covers both pieces: finding the correct Google account tied to your listing, and completing the connection itself.

Every Google Business Profile is owned or managed by one or more Google accounts. If you are not sure which email address that is, or you inherited the listing from a previous employee, vendor, or family member, start here.

  1. Sign in at business.google.com

    Go to business.google.com and sign in with whatever Google account you normally use for the business, even if you are not sure it is the right one.

  2. Open Business Profile settings

    Once your profile loads, click Business Profile settings in the left menu, then select People and access.

  3. Review the list of owners and managers

    This screen shows every Google account with access to the listing, along with their role. Owners have full control, managers can post and respond to reviews. Look for the account with Owner or Primary Owner next to it.

  4. If you don't see your profile at all

    You may be signed into the wrong Google account. Sign out, sign back in with another email address the business may have used (a personal Gmail, an old office manager's account, a bookkeeper's login), and check again.

  5. If someone else owns it and you can't reach them

    Search for the business on Google Maps, open the listing, and select Claim this business. Google will show a partially masked version of the current owner's email address, for example j***[email protected], which is often enough to jog someone's memory on the correct account.

Common Snag

The email tied to a Google Business Profile is often not the business's main inbox. It is frequently a personal Gmail address that belonged to whoever originally set up the listing, sometimes years earlier. Ask the client directly whether an old employee, web designer, or marketing vendor ever created their Google listing for them.


Once you know the correct Google account, connecting it takes just a few minutes. This authorizes the platform to publish posts, request reviews, and pull performance data on the business's behalf.

  1. Open the integrations panel

    Inside the CRM, navigate to the account or sub account for the client, then find the section labeled Integrations or Connected Accounts, depending on how the workspace is organized.

  2. Select Google Business Profile

    Choose the Google Business Profile connection option and click Connect or Authorize.

  3. Sign in with the correct account

    A Google sign in window will open. Use the exact email address you confirmed in Step 1, not whichever account happens to already be logged into the browser.

  4. Grant the requested permissions

    Google will list out what the platform is asking to access, typically the ability to manage posts, read and respond to reviews, and view business information. Approve all of them, since each one maps to a feature in the starter package.

  5. Select the correct location

    If the Google account manages more than one listing, a location picker will appear. Choose the specific business location you are setting up, and double check the address matches before continuing.

  6. Confirm the connection is live

    Back in the CRM, the integration should now show a connected or active status. Send a test post or pull a review request to confirm data is flowing both directions.


A quick five point check before you consider the setup finished.

  • The connected Google account matches the confirmed Owner or Manager email from Step 1
  • The correct business location is selected, especially for clients with multiple locations
  • Connection status reads as active, not pending or expired
  • A test post publishes successfully to the live Google Business Profile
  • Review notifications are set to route to the right inbox, not the account used to authorize the connection
If the Connection Drops

Google occasionally requires re-authorization if a password changes, two factor settings update, or the account goes unused for a long stretch. If posts stop publishing or reviews stop syncing, the fix is almost always to repeat Step 2 and reconnect with the same email address.

Best Practice

Document the email

Once confirmed, save the account email in the client's internal record. It saves time on every future reconnection or troubleshooting call.
